Assignment Contracts, Estimates & Invoices

Use this feature when you have assignment work for magazines, advertising agencies or other types of companies. PJD gives you a complete package for creating a contract, estimate, and invoices.

Contract
The Assignment Contract contains legal provisions, shoot details, and a Table of Usage. Why is a table important? It is a road map of exactly how your client can use the images you create for the assignment — and goes beyond a simple usage paragraph.  The Assignment Contract is also designed so you can quickly customize other information as needed, such as copyright notice, cancellation fees, reuse penalties and liquidated damages — with intuitive, step-by-step guidance.

Estimate & Invoices
Our Estimate feature has over 150 possible line items with the option of creating some of your own. No more worries about forgetting an item - simply move through the tabs where line items have already been organized into categories for you such as Photography Fee, Usage Fee, Photo Assistants, Location, Models/Talent, Digital, etc.  Choose if a line item is to be marked up or is taxable.  Enter usage information with our easy guide.  Sit back while all amounts are automatically calculated, including taxes, markups, advances and totals due.  PJD also gives you the unlimited capability of duplicating and revising the Estimate Cover (summary) and Detail (itemization). When you’re ready to bill, an Advance Invoice, Invoice and Past Due Invoice are easily created, with usage and remit to/bank wire instructions.  Your completed Estimate and Invoices are then stored and ready to be re-visited at any time!

New! (v. 1.5.0) Now you can create Estimates and Invoices with a Usage Fee separate from your Photography Fee.  For example, only enter a Usage Fee when you are billing clients just for usage.

License Contracts & Invoices

Use our License Contracts and Invoices when you have stock photos or other existing images to license. Our contract contains legal provisions specific to licensing and a Table of Usage with usage rights for up to 32 individual photos at a time.  Quickly import images to appear next to usage details and enter the amount you are charging for each image; PJD automatically calculates the taxes and total due. Create an Invoice with modifiable terms and remit to information. Designed for easy customization with step-by-step guidance, the License Contract, Table of Usage, and Invoice are a complete package for your licensing needs.


Portraiture, Event, Wedding, Videography Contracts & Invoices

Our Photography Contract and Invoice contain legal provisions and other information specifically intended for photographers and videographers who shoot weddings, events, and portraiture. Customizable fields in the contract include multiple shoot dates and locations, formats, delivery dates, # of proofs to be shown, and cancellation information. It also includes various packages, extra charges, deposits, and license rights. All packages, fees, extra charges, deposit, and balance amounts are automatically calculated for you. When you’re ready to bill, an Invoice is created directly from the Photography Contract, with customized Terms and Remit To information.

Property Contracts & Releases

Use our Property Contract when you’re shooting on location and the property owner doesn’t provide a contract. It contains customizable provisions including rental terms, description of images, fees, deposits, cancellation, releases and insurance. The total fee that appears in the printed contract is calculated automatically for you by the number of days and amounts you enter for various fees such as Rental and Site Management. PJD also gives you the option of listing fees for a variety of other items that may be charged after the shoot, such as Cleanup and Overtime.  

The Property Release can be used in conjunction with the Property Contract or separately. It contains stronger release provisions and allows you to import a photo of the Property to be printed on the Release.
Model Releases

Whether you’re photographing a subject for portraiture or a model for a fashion shoot, our Model Release contains customizable fields for the subject’s information, as well as the witness and the subject’s legal guardian/ representative, if applicable.  It also allows you to import a photo of the subject to be printed on the Release.

Call Sheets and Delivery Memos

With our Call Sheet feature, you can create customized Call Sheets with all the important information you need for a shoot, including Location, Production Company, Crew, Client, Talent, Support Personnel and more. Our easy data entry system makes it a snap to create professional looking Call Sheets in minutes. When completed, print it or save it as a PDF and email it to the entire group at once. Delivery Memos are an important component of the job — whether you’re sending your client proofs or final images. With our PJD Delivery Memo, you can include total value, return date, recipient’s signature provision, and other important information. It also allows you to enter details for up to 32 individual photos or a group of photos. Quickly import your images to appear next to the details. When completed, print the Delivery Memo for courier delivered images -or- save it as a PDF for digital delivery of images (via email). (See Sending Via Email below for more information.)

Customization & Revisions

All of our documents can be customized, duplicated, renamed, revised, printed, and/or saved as PDF’s an UNLIMITED number of times, allowing you flexibility in how they are presented to your clients. Customization capabilities include setting universal document Preferences for more than 35 fields such as company information, sales tax %, markup, advance, bank wire, currency (USD, AUD, CAD, GBP), and invoice terms. Quickly import your company logo or other image that will appear on all documents. Customization is also contained within the documents themselves, where you receive step-by-step guidance when entering information into modifiable fields. Tracking Status (Approved, Billed, Closed)

With PJD, you have the ability to assign any document’s status as Active, Approved, Billed, and Closed. For example, you can designate a “Closed” status for each document in a group when their related job has ended. The “Approved” status can be used to designate that an Estimate or Contract has been approved or “Billed” when an Invoice has been issued. PJD also has a Balance Due column so you can quickly track what documents have outstanding balances. In addition, you can search for all documents with various criteria including Status, Date, PO#, and Balance Due.

Print Documents or Send Via Email (PDF)

PJD gives you flexibility in the way you output your documents. Print them as completed or blank. And, save them as PDF’s* that can be either printed or sent via email.
*Included for users of Macintosh.  Users of Windows operating systems require a program such as CutePDF or the full version of Adobe Acrobat. 

 
Import Photos & Logo

With the License Contract/Invoice, Delivery Memo, Property Release, and Model Release, you can import photos to print alongside usage information or as a reference. (See the document descriptions above for more details.)

Additional Requirements For Both Platforms:
Registration is required to use PhotoJobsDatabase*

For Networking: TCP/IP and FileMaker Pro 8 (not included) plus FileMaker Server 8 (not included) are required; limit five concurrent users, per our software licensing agreement.

For Installation: Expansion of compressed files requires a utility such as WinZip (Windows) or StuffIt Expander (Macintosh or Windows)

*Registration, email, and contact updates require Internet access; PhotoJobsDatabase does not provide an Internet account for you; check our website for details on contact update fees and availability; high speed Internet connection is recommended. When sending groups of emails, your email program may run slowly and your ISP may reject large groups of email addresses as spam. To utilize the email function, Mac users must have an OSX Mail, Eudora or Entourage program. Users of Windows operating systems must have Outlook, Outlook Express, Eudora or any MAPI email program.

** Users of Windows operating systems: To save a document as a PDF requires a program such as CutePDF Writer or a full version of Adobe Acrobat.

*** Mac OSX Leopard users:  You will not be able to export contacts and schedules from PJD to Excel.  Please note this affects only the export (not import) and only Excel (not 11 other export formats). In addition, Leopard international users, you must set the "International Formats Region" in the Mac OS System Preference to the United States.
